Approve leave and reimbursement requests
Approve or deny employee leave and reimbursement requests, check leave balances and set up your own leave types.
Updated September 29, 2026
Employees file leave and reimbursements themselves, and you approve or deny them from Leave & requests. Pending requests show as a badge on Leave & requests in the sidebar.
Who can do this: Owner, Admin, HR. Leave types in Settings are Owner and Admin.
How employees file leave
Employees file leave from the employee portal (web or mobile) or a chat bot. HR does not file leave for employees in the dashboard.
Approve or deny a leave request
- In the sidebar, click Leave & requests and open the Leave requests tab.
- Filter by Pending.
- On a request, click Approve or Deny.
- Add an optional note. The employee sees the note.
- Click Approve leave or Deny leave.
The approve dialog shows the employee’s leave balance after approval, and warns you if the balance is insufficient.
You can also reach pending leave requests from the Dashboard home with Open inbox →.
Approve or deny reimbursements
Open Leave & requests → Reimbursements and click Approve or Deny on each reimbursement request.
Check an employee’s leave balances
Open the employee’s profile and go to the Leave tab. It shows entitled, carried over, used and remaining days per leave type.
To convert unused Service Incentive Leave to cash, click Convert unused SIL to cash on the Leave tab.
Leave types
Service Incentive Leave, Maternity, Paternity and Solo Parent are built in. Built-in statutory leave can’t be edited.
To add your own leave type:
- Go to Settings → Leave types and click + New type.
- Enter the Code (slug) and Name.
- Choose Fixed annual or Monthly accrual, set the Carry-over cap (days), and tick Paid leave if it’s paid.
- Click Create.
Use Archive and Restore to retire or bring back a leave type.
