Manage shifts, holidays and company events

Create shift templates, assign schedules, override single days, approve shift swaps, and add local holidays and company events.

Updated October 2, 2026

Shifts set when each employee is expected to work, and the calendar holds holidays and company events. Both affect attendance and pay.

Who can do this: Shifts are Owner, Admin, HR. The Calendar is also visible to the Accountant.

Create a shift template

  1. In the sidebar, click Shifts and open the Roster tab.
  2. Click Manage templates, then New template.
  3. Enter the Name, Start · 24h, End · 24h and Break (min). Optionally set Work type · hourly staff. Times are 24-hour, so 1 PM is 13:00 and 01:00 is 1 AM. The line under the fields spells the shift out in 12-hour time with its length, and turns red if the shift runs over 16 hours.
  4. Click Create template.

To retire a shift template, click Deactivate.

Assign a schedule to employees

  1. On the Shifts → Roster tab, click Assign schedule.
  2. Pick the Template, the Effective from date and the Employees. Effective from starts at today. Days before it keep their current schedule, so to change the rest of this week too, pick this week’s Monday.
  3. Click Assign.

Change one day of an employee’s shift

  1. On the roster, click the cell for that employee and day.
  2. Choose Working day or Rest day. For a working day, set the times.
  3. Enter a reason and click Save override.

To undo a single-day change, click Remove override.

Days in an approved payroll are locked. Only Owner, Admin and HR can edit shifts.

Approve shift swap requests

Open Shifts → Swap requests and click Approve or Deny on each request. Pending shift swaps show as a badge on Shifts in the sidebar.

Holidays on the calendar

National holidays are loaded automatically and are read-only.

To add a local holiday:

  1. In the sidebar, click Calendar.
  2. Click + Add holiday, or click a day and then + Holiday.
  3. Enter the Name and Date, and pick the Kind: Special non-working or Special working.
  4. Click Create.

To remove a local holiday, use the trash icon in the day dialog.

Add a company event to the calendar

  1. On the Calendar, click + Add event.
  2. Enter the Title, Starts, Ends and Branches, plus an optional description.
  3. Click Create.
