Add an employee

Add a new employee step by step, from identity and employment terms to compensation and government IDs.

Updated October 18, 2026

You add employees one at a time from the Employees page using a short step-by-step form. You can also bulk-add employees from a CSV file.

Who can do this: Owner, Admin, HR

The employee list

Open Employees in the sidebar to see the employee list. The buttons at the top are Bulk pairing codes, Import CSV and Add employee.

  • Search the employee list by name or employee number.
  • Use the Probation ending soon filter to find employees nearing regularization.
  • Separated employees are hidden from the list. Click Show previous employees to include them. Their records are kept, not deleted.
  • When hourly pay is on for your company, an Everyone / Employees / Contractors filter also appears.

Click a row in the employee list to open that employee’s profile.

Add an employee: identity and employment terms

  1. Go to Employees and click Add employee.
  2. Identity & contact: First name, Last name and Hire date are required. Middle name, Work email and Gender are optional. The Employee number is suggested for you (EMP-####) and you can edit it. Add a work email if you want to invite the employee to the employee portal.
  3. Employment terms: choose the Employment status (Probationary, Regular or Contractual), enter the Position / title (required), and pick a Branch if you have branches. The work schedule is read-only on this step; change it in Settings → Payroll.

Add an employee: compensation

On the Compensation step:

  • For salaried staff, enter the Monthly basic rate. Panatag shows the daily and hourly equivalent.
  • Choose the Pay basis: Salaried or Daily rate, plus Paid by the hour if hourly pay is on for your company.
  • For Daily rate staff, enter the Daily rate. Panatag shows the monthly equivalent. See Pay an employee a daily rate.
  • If your company’s region is set, the rate field suggests the regional minimum wage, with Use this to fill it in. A rate below it shows a warning but can still be saved.
  • Hourly staff see Hourly rate, Pay tier and Default work type, and no monthly rate field. A salary that covers some of their hours is set later on their Compensation tab.
  • Typing an Hourly rate pays that amount for every hour the employee works, whatever the work type, and no rate card or pay tier is needed.
  • Leave Hourly rate blank to pay the employee from the rate card by pay tier and work type.

Add an employee: government IDs and review

Government IDs are optional when adding an employee, but the agency files need them: TIN, SSS number, PhilHealth number, Pag-IBIG MID number and Bank account.

If the employee joined mid-year, open Joined mid-year? Previous employer details (from their 2316) and enter the previous employer’s name, TIN, taxable compensation, tax withheld and non-taxable compensation.

Finally, on Review & create, click Add employee. If government IDs were skipped, you’ll see a reminder to add them. Payroll still computes, but the agency files need the numbers, so add them before you file (the employee can also fill in missing ones from the employee app).

After the employee is created, you can click Invite to self-service to invite them to the employee portal, or Back to employees.
