Update an employee's details and government IDs

Edit an employee's personal and employment details, view or update government IDs, and record promotions or reassignments.

Updated October 18, 2026

Every employee has a profile with tabs for personal details, employment and pay, attendance, compensation, leave, chat access and documents. Open it by clicking the employee’s row on the Employees page.

Who can do this: Owner, Admin, HR. Recording a new monthly rate during a promotion is Owner and Admin only.

Employee profile tabs

The employee profile has these tabs: Personal, Employment & pay, Attendance, Compensation, Leave, Chat access and Documents. Click All employees to go back to the employee list.

View and update an employee’s government IDs

On the Personal tab:

  • Click Reveal or Hide on each government ID. Every reveal is logged for compliance.
  • Click Update IDs to change them. Leave a box blank to keep the current value, then click Save IDs.

Employees can fill in their own missing SSS, PhilHealth, Pag-IBIG and TIN numbers in the employee app (More → Government IDs). Employees can’t change a government ID number that’s already on file, and they can’t enter a bank account. Corrections and bank details are always done by HR on the employee’s Personal tab.

Edit an employee’s personal and employment details

On the Personal tab, click Edit details to change the employee number, work email, names, date of birth and gender.

On the Employment & pay tab, click Edit details to change the hire date, regularization due date, employment status and Minimum wage earner.

Promote or reassign an employee

  1. Open the employee’s Employment & pay tab.
  2. Under Assignment history, click Promote / Reassign.
  3. Set the Effective date, Position / title, Department, Manager and Branch.
  4. Optionally set a new Monthly rate (₱) (Owner and Admin only) and a Note.
  5. Click Record assignment, or Record assignment & rate if you also changed the monthly rate.

If the new position’s pay defaults use a different pay basis (for example a daily-rate employee moving into a monthly-salary position), Panatag won’t apply them. Change the employee’s pay basis on the Compensation tab first, then record the promotion.
