Configure payroll and attendance settings

Set your pay frequency, pay schedule, contribution timing, workweek, how new hires are paid (monthly, daily or hourly), attendance rules, clock-in options and payslip emails.

Updated October 18, 2026

Settings → Payroll controls how and when you pay your team, and the attendance rules that feed into payroll. Many of these were first set in the setup wizard.

Who can do this: Owner, Admin

Pay frequency, pay schedule and contribution timing

On Settings → Payroll you can set:

  • Pay frequency: Semi-monthly or Monthly. Weekly is coming soon.
  • Pay schedule.
  • Contribution timing: whether SSS, PhilHealth and Pag-IBIG are deducted with Split across both cutoffs or Second cutoff only.
  • The workweek and the default weekly schedule.

Changing the workweek recalculates the monthly equivalent of every daily-rate employee’s current rate, for example ₱480/day is about ₱12,520/month on a 6-day week and ₱10,440/month on a 5-day week. Their daily rate doesn’t change, and older pay records keep their figures.

Pay frequency is locked after the first completed payroll run. Contact support to change it.

How new hires are paid, hourly and daily-rate staff

Settings → Payroll also covers how new hires are paid and the settings for hourly staff:

  • How new hires are paid: monthly salary, Daily rate or hourly. Each employee’s own pay basis is set on their Compensation tab.
  • Contributions for hourly staff.
  • Approval of punched hours (Hours hourly staff log by punching): whether hours created from punches wait for HR approval or are approved automatically.

Attendance and clock-in rules

The attendance rules on Settings → Payroll are:

  • Grace period and half-day rule.
  • Flexi-time.
  • Require a selfie when clocking in.
  • Geofence: Off, Warn or Block. Geofencing uses the check-in radius of your branches.

What attendance changes pay

Under What attendance changes pay, choose which attendance figures change an employee’s pay. All four are on by default.

  • Deduct lates: off means lates aren’t deducted.
  • Deduct undertime: off means undertime isn’t deducted.
  • Pay overtime: off means hours beyond the schedule don’t add overtime pay. Holiday and rest-day premiums for scheduled hours, and night differential, are still paid.
  • Count a scheduled day with no punches as an absence: off means a scheduled workday with no punches isn’t deducted for salaried staff. Turn it off if you mark attendance by hand on Time → Attendance by day, so only the days you mark Absent are deducted. After you turn it off, the next attendance recompute removes the absences Panatag added for days with no punches; days you marked by hand stay.

Lates, undertime and overtime are still recorded on the timesheet when a switch is off. Absences you mark are always deducted. A change to these switches applies to every payroll run computed afterwards, including a draft run you recompute; approved runs never change. Turn off Deduct lates, Deduct undertime and Pay overtime for a fixed salary where only absences, government contributions and loans change pay.

Pay unworked special non-working days (daily-rate staff) is off by default, following the DOLE “no work, no pay” rule for special days. Turn it on if your company policy pays daily-rate staff for a special non-working day they don’t work. It doesn’t affect salaried staff.

Overtime premium is required by the Labor Code for most rank-and-file employees. Turn off Pay overtime only if your pay arrangement covers it.

Block clock-ins outside your branches (geofence)

  1. In Settings → Branches, place each branch on the map and set its Check-in radius.
  2. In Settings → Payroll, under Geofence enforcement, choose Warn (out-of-range clock-ins go through but are flagged) or Block (they are rejected).
  3. Set the max GPS accuracy you trust. A phone fix less precise than this counts as “location unknown”, never as “inside”.
  4. In Block, optionally tick Also reject a clock-in with no usable location. That also blocks clock-ins with GPS turned off, and every chat clock-in (Messenger, Viber, Telegram), because chat never sends a verified GPS fix.

How it decides:

  • A clock-in inside any active branch’s radius is allowed, whichever branch the employee picked. The punch is recorded against the branch they were actually at.
  • Outside every branch, a rejected employee sees how far they are from the nearest branch.
  • Until at least one branch is placed on the map, every clock-in is allowed, so turning on Block early can’t lock anyone out.
  • Kiosk clock-ins aren’t geofenced; the kiosk tablet itself stays at the branch.

To let employees clock in from a browser, turn on the Web clock-in card in Settings → Employee Access.

Payslip emails and payroll notifications

  • Email employees when payslips are ready: when this is on, payslip emails are sent automatically when a payroll run is approved.
  • Notify this device when payroll generation finishes: shows a browser notification when payslip generation finishes.

Reminders

Under Reminders, choose which payroll reminders owners, admins and HR get by email and browser notification:

  • Remind us before payday, with how many days before the pay date (1 to 10).
  • Remind us on payday if the run isn’t approved.
  • Government remittance reminders, with how many days before each deadline, which agencies (SSS, PhilHealth, Pag-IBIG, BIR 1601-C), and an optional due day per agency. Leave the due day blank to use the default.

Click Save changes to apply. See Run payroll for when each reminder is sent.
